How to Write a Base Oil RFQ That Can Be Priced and Checked
A practical base oil request checklist for grade, quantity, unit, packaging, destination, delivery term, and technical documents.
Describe the product rather than asking for a generic price
“Base oil required, best price” leaves the product and route open to guesswork. Name the application and any required Group I, II, or III classification. State the grade, for example SN150, SN500, Bright Stock, 150N, 500N, or a documented Group III grade. Add required properties with units, test temperatures, methods, and acceptance ranges. A group or grade label does not replace the selected producer’s actual TDS. State whether alternatives are permitted and require deviations to be shown explicitly.
Keep quantity and packaging unambiguous
Write the quantity and its unit, such as metric tonnes. If the operating plan is expressed in litres, ask for the density and measurement conditions needed to reconcile mass and volume; do not silently convert. Name the acceptable packaging and whether the request is one shipment or a repeat programme. Give the required delivery window so the supplier can evaluate the route.
Name the destination and delivery basis
Give the port or inland delivery place and the delivery term you want quoted. Incoterms® 2020 rules describe the parties’ delivery tasks, costs, and risks. State a selected rule with its named place and the 2020 version, or request clearly separated alternatives when the route is undecided. Specify the offer currency; a display conversion does not change the quotation or payment currency.
Request documents tied to the offer
Ask for the current product TDS and safety data sheet, plus a batch-linked COA when material is assigned. Identify any origin, inspection, or sample evidence required by the actual contract. A complete reply should identify the proposed grade and source, specification, quantity and package, delivery point, currency, validity, timetable, documents, and any deviation. Compare offers on those same fields.
